1. Who we are

Iconic Media House ("we", "us", "our") is a boutique visual-strategy studio based in Amsterdam, the Netherlands. We are the controller of personal data processed through iconicmediahouse.com.

2. What we collect

We only collect data you actively share with us:

  • Application form data submitted via Typeform: name, email address, property details and any context you provide.
  • Direct communication: email and WhatsApp messages you send to us, including attachments.
  • Technical data automatically collected by our hosting provider: IP address, browser type, device type, referring page and timestamp, used solely for security and aggregated analytics.

We do not use advertising cookies and do not sell, rent or trade your data.

3. Why we process it

  • To respond to your application and prepare a tailored proposal (legal basis: pre-contractual measures, GDPR art. 6(1)(b)).
  • To execute a service agreement once you become a client (art. 6(1)(b)).
  • To comply with Dutch tax and accounting obligations (art. 6(1)(c)).
  • To improve our site and protect against abuse (legitimate interest, art. 6(1)(f)).

4. Who has access

Your data is processed by a small number of vetted processors, each bound by a data-processing agreement:

  • Typeform (form intake, EU/US, DPF certified).
  • Google Workspace (email correspondence, EU/US, DPF certified).
  • Our hosting provider (site delivery, EU region).
  • Our accountant (invoicing, NL).

We do not transfer your data outside the EEA unless an adequate safeguard (DPF or Standard Contractual Clauses) is in place.

5. How long we keep it

Application data is kept for up to 12 months after our last contact. Client project data is kept for 7 years to comply with Dutch tax retention law (Algemene wet inzake rijksbelastingen art. 52). Server logs are retained for 30 days.

6. Your rights

Under the GDPR you have the right to access, rectify, erase, restrict or port your data, and to object to processing. To exercise any of these rights, email hello@iconicmediahouse.com. We respond within 30 days. You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens, autoriteitpersoonsgegevens.nl).

7. Cookies

This site uses a granular consent banner with three categories. Your choice is stored in your browser under imh-consent-v1 and can be changed any time via the "Cookies" link in the footer.

  • Necessary (always active): language preference (imh-lang) and the consent record itself. No personal data leaves your device.
  • Analytics (off until you opt in): aggregated, anonymised usage statistics. Currently inactive — no analytics provider is loaded. When enabled in future, this section will name the processor and retention period.
  • Marketing (off until you opt in): used to measure the effectiveness of campaigns. Currently inactive — no marketing pixel is loaded.

Until you give explicit consent, no analytics or marketing scripts are executed. Rejecting all categories leaves only the necessary functional storage.

8. Changes

We may update this policy when our practices change. Material changes will be announced on this page with a new "last updated" date.
